Fix receipt capture at the point of spend, not the shoebox

Reconciliation happens weeks after the decision that created the expense. At the moment of spend, you know exactly what the purchase was for, which job it belongs to and whether it was personal. Four weeks later you have a merchant name, a dollar figure and a date, and you are guessing. The guessing is the expensive part. For most sole traders the collection side is scattered by default: screenshots in one place, supplier emails in another, paper receipts in the car and photos in the camera roll. That is four separate systems, none of which talk to each other, and none of which record why the purchase happened. So the annual clean-up becomes a research project. It looks boring, and it takes seconds. Three fields, captured while you are still standing at the counter or still on the supplier's confirmation screen. First, an image of the receipt or tax invoice, which is your substantiation and your GST evidence if you are registered. Second, the job, client or cost centre, which makes the expense codeable without asking anyone. Third, a one-line reason, which separates business from private use. The mechanics matter less than the habit. A photo emailed to a dedicated inbox, a message to a shared channel, or the receipt-capture feature already sitting in Xero, MYOB, ServiceM8 or Tradify all work. What makes it work is that the job code and the reason travel with the image, at the moment they are still known. If you want an automated layer on top, the useful one is not the scanner. It is the routine that reads the capture inbox, pulls out merchant, date, amount and GST, and drops a coded row where your bookkeeper can see it. That is a small, well-scoped build, and a business is far better off owning it internally than renting it, because the categories change every time the business does.

A business-only card removes the judgement call entirely. Every transaction on that card is a business transaction. There is nothing to decide, so there is nothing to ask about. Neither problem is solved by better software. Both disappear the moment the card boundary is clean. The cost of not doing it escalates when you move from sole trader to a company. This is the sequencing problem, and it is genuinely hard. The purchase decision, the confirmation email and the bank charge can land days or weeks apart. It has no state. A message either gets actioned immediately or it is buried, and there is no way to see what is still outstanding. The fix is to give the context somewhere to wait. A single shared list, spreadsheet or table where every pending purchase sits as a row with a status, so that when the charge finally appears the row is still there to match against. The owner still sends the information the way they always have. A small routine reads that inbox and files each message as a row instead of leaving it in a thread. Nobody has to change their habits, which is the only reason this version survives.

It is one list, sent once a week, containing only the transactions nobody can code. Not a chase for each individual charge. The advice as given on r/Bookkeeping: “Instead of chasing individual charges, send one weekly "unresolved" list and make it clear to them that anything unresolved at month-end gets coded to a generic expense account and stays there unless they provide the info.” Three things make this work. It batches the interruption into one predictable moment. It makes the backlog visible, so the owner can see the list growing. And it sets a consequence that requires no argument, because unanswered items simply get coded generically and stay that way. This is also the piece most worth automating, and it is trivial compared to the rest. Query the transactions with no job code or no attached receipt, format them as a list, send it every Friday. No AI is required for the send. The judgement stays with the human, which is where it belongs.

Whoever feels the pain of the annual clean-up. In a one-person business that is you. In a business with staff, it is usually the office manager or whoever already handles invoicing, not the owner. That matters more than the tool choice. A capture process built by an outside agency and handed over tends to drift, because the job codes change, the suppliers change and the person who understood the logic has left the building. The durable version is someone internal who can map the process, see where the context falls out, and change the routine when the business changes. The skill worth acquiring is diagnosis, not app configuration. Start with the boring half. Open a business-only account. Pick one capture destination and use only that one. Add the weekly unresolved list. If those three are running for a month and still creaking, then build the routine that reads the inbox and codes the rows.

Do I still need to keep paper receipts in Australia? No, digital copies are acceptable provided they are a true and clear reproduction of the original and remain accessible. Will an app fix my receipt problem on its own? Rarely. Apps solve storage. The common failure is that the job code and the reason for the purchase are never recorded anywhere, so the image alone still cannot be coded. Fix the capture habit first, then choose a tool that supports it. Is a separate business bank account legally required for a sole trader? No, a sole trader can operate through a personal account. It is a practical recommendation rather than a legal obligation. Companies are different, because private company funds used for private purposes can trigger Division 7A consequences. What is the fastest change I can make this week? Open one business-only account and route every business purchase through it. It removes the personal-versus-business judgement call from every future transaction, which is the question that generates most of the back-and-forth with a bookkeeper. Can AI code my expenses for me? It can extract merchant, date, amount and GST from an image reliably. It cannot know which job a purchase belongs to unless someone recorded that. Extraction is the easy half. Context is the half that has to be captured by a person at the point of spend. Should I hire someone to build this or learn it myself? Build it internally if the process will keep changing, which it will. Capture rules follow the business, so an outsourced build tends to decay.
