Buy a tool, commission a build or train your team?
The right choice depends on the work itself: how often it happens, how consistent it is, what systems it touches and who will own it once it runs. Start with a workflow, then choose the delivery model.
Start with one process
Write down the trigger, each step, the final output and the person responsible. Count how often the process happens and how long it takes. Note where an incorrect result would matter to a customer, employee or regulator.

Before you commit: Agree the scope, accounts, data access, testing, handover and ownership of ongoing changes before the build starts.
Train your team to build it
Good fit: You have repeated improvement work and people who can own the workflows after initial coaching.
Before you commit: Give those people time, access, documentation and an escalation path for the parts that need engineering support.
Questions to ask any provider
- Which parts run automatically, and which outputs does a person approve?
- What happens when a system is unavailable or the input is incomplete?
- Who owns the accounts, workflow configuration, data and documentation?
- Which subscription, model-usage, hosting and support costs continue after launch?
- How will we know the workflow is working, and who responds when it fails?

A high-ticket education provider might begin with lead intake and follow-up, then connect booking and sales handoffs. A reseller might start with the repeated work of preparing listings across channels. A construction business may get more value from a reliable client handover than from another dashboard.
